MADRID CULTURAL PROJECTS BOARD MEETING
MARCH 2, 2005 MINUTES
Attending: Gail Snyder, Mark Bremer Lynn McLane, Cindy Sheff, Joyce Roetter, Nancy McIntosh, Lisa Conley
Meeting called to order at 6:18pm
Minutes from Jan 3, 2005 meeting read, corrected and approved by Joyce, 2nd Lynn.

COMMITTEE REPORTS:
Madrid Christmas:
Lisa reported that the total amount of monies taken in was $5,091.57. After the expenses were subtracted, the total left is $1,158. Cindy mentioned that the MCP would like to participate more in the Madrid Christmas events, and requested to have specific tasks delegated to us for next years event ( ie. help with cut out figures and painting.)
TREASURERS REPORT:
Cindy reported that the year to date summary for the MCP account totaled $1,182, and the childrens account totaled $2,432. Mark motioned to accept the financial summary, Joyce 2nd , Passed unanimously.
COMMITTEE REPORTS: (cont)
Ballpark:
Cindy reported that she has made a least ten calls to Rudy, but received no return call. Mark reported that he also put a call in to Rudy asking if we could meet with the proposed architectural firm. He received an email stating reasons why it was not an appropriate time for us to meet with them yet. Mark also reported on the issue holding up the lease back agreement. Rhonda may have to look into changing a state statute. Joyce reported that Mark, Mike, Gail, and herself were at the roundhouse and set up the MCP display table. Mike and Mark made the newspaper and had a visit with Governor Richardson. Joyce received a follow up call from Rhonda stating that she was going to meet with Rudy, and would get back to her about setting up a meeting for all of us.
Cindy confirmed a letter from Mike Elliot at the Historic Preservation Division,
stating it was acceptable for us to dig holes for the toilet, unless we find human remains
Historical Society:
Awaiting possible pending sale of the property
Lynn reported the preliminary costs for production of the cookbook, $4.16 per book, if we fold and staple it would lower the cost to $3.63. The timeline for production is April/May. Mark suggests keeping the work production in town and follow up on the possibility of renting a copier machine.
MCP Fundraising:
Joyce reported that she received two submissions of artwork for the contest. Everyone agreed that we should extend the deadline, and wait for Denise to return to do the judging.
Greenbelt:
Joyce reported that she recorded the quick claim deed that stated the MLA to be the new owners of the Garage lots, which were originally donated by Evangeline Pacheco. Joyce added a stipulation that the "property use to be restricted to open space and community use, in perpetuity." A copy of the deed was also recorded at the tax office.
Food Depot:

Playground:

Canary:
Waiting for information on leasing a copying machine.
Ballpark concert series:
Mark reported that Anna is getting musicians to sign contracts for the music series. Mark also reported that he received confirmation that the Jazz Workshop is willing to donate their stage.
Baseball Games:
Renovation schedule must be confirmed before any events happen
Community Spaces:
Proposal will be submitted my Bruce McIntosh at next meeting

Canary Copy Machine: need to set up meeting to review application for copier machine to be potentially leased by the Madrid Canary
