MADRID CULTURAL PROJECTS JUNE 7, 2004 MINUTES

Attending: Cindy Sheff, Andres Romero, Denise Jones, Diana Johnson, Mark Bremer

Meeting Called to Order at 6:20pm.

Minutes from May Meeting: Not present due to Kent being out of town.

TREASURE’S REPORT: Cindy Sheff

Financial Summary Year to Date: General Account $509.95, Children’s Account $488.95

Cindy went over Projections for expected revenues and expenses: On the revenue side Food Depot donations are slightly lower than expenses, t-shirt/cap sales are down and Gypsy Festival will bring in $1,037 (and replace $500.00 advance) for a total of $4,162.00. On the expense side are the Food Depot, Canary Ad, Web-site, Inventory, Ball-Park, Legal Fees, Office Expense, Taxes/Fees, Fundraising Expenses and Promotions (Replica Miner’s Uniforms), for a total of $4856.00. The situation is that at our current revenues we are looking at a net loss of about $800.00 . Discussion of how to remedy situation resulted in a desire for more fund raisers, more opportunities for t-shirt/hat sales and a need for more members to help with such endeavors.

We need more signors on our checking account due to Joyce, Mike and Kent being away for an extended period.

Action Item: Denise will make flyers about our next meeting in an effort to solicit more members

Action Item: Mark and Denise will meet with Cindy at Bank of America on 6/15 to become additional signors.

COMMITTEE REPORTS:

Ballpark:

New committee members needed. Andreas volunteered.

Cindy presented a Questions and Draft Workplan for committee members to plot renovation progress.

County Lease

No new information

Scenic Byways

Cindy reported on meeting. We should hear in October regarding our grant proposal. Will probably be approved for only one set of toilet buildings, kiosk and signage.

Watering

Mark reported we lost 1 tree( black locust) & new timer installed and working.

Uniforms

Mark reported he’s in process of finding new fabric, still hope to have 2 uniforms by July 4th

Historical Society

Denise reported that the mailing list for Old Timers will be compiled on computer and mailing sent out by first of next week.

Playground

Cindy reported that Gypsy Fest outcome: $1,036.00 to MCP, $1,036.00 to children’s fund, $137.00 to Earthworks

Canary

Anah K not in attendance, no reports

Greenbelt Fundraising

Shelved until next meeting when we hopefully have more members to discuss

4th of July

Motion by Cindy for $100.00 for 4th of July Children’s Raffle. Mark Seconded. Cindy and Anna T will participate.
