MADRID CULTURAL PROJECTS BOARD MEETING

JUNE 6, 2005 MINUTES

Attending: Mark Bremer, Lynn McLane, Joyce Roetter, Diana Johnson, Denise Jones, Cindy Sheff, Sheila Goggin, Anah K Coates, Lara Lynn Lane, Terry Ryder, Liz Falconer, Gail Snyder

Meeting called to order at 6:10pm

Minutes from May 2, 2005 meeting read, no corrections, approved by Sheila, 2nd Joyce.

Passed unanimously.

TREASURER’S REPORT:

Cindy reported that the General Account stands at $2,547.93 with a donation from the Gypsy Fest of $1,977.00 and the Children’s Account is $1,974.16 with an outstanding check for sand for the climbing structure installation. Documents to request our final 501(c)(3) approval were reported to be received by the IRS.

COMMITTEE REPORTS:

Ballpark:

    1. State Grant (Renovation and Grandstand)

Joyce talked to Rhonda and a meeting is being set up to clarify why the project is not moving forward and what needs to be done to expedite matters. Possible meeting dates are being discussed and Joyce will e-mail the group when a date is set.

B. Scenic Byways Grant (Toilets, Kiosk, Signage)

Cindy reported that she has not received word yet that we have definitively received this grant (we were told we would be notified in May) so she will follow up with a phone call.

Historical Society:

Diana reported that the Old Timers mailing has been sent out for this year’s event.

Diana also offered to showcase their collection of historic Madrid memorabilia to the public at some future date to be decided.

MCP Fundraising:

Denise asked for approval of funds to print new t-shirts. Cindy motioned for approval of $500.00 for new t-shirts, Mark 2nd the motion. Passed unanimously.

Food Depot:

No report

Playground:

No report

 

 

Canary:

Anah K reported that she has resigned as co-editor of the paper and will be starting another publication. She is not asking for the MCP to umbrella the new publication and will operate it from sponsorship by individuals instead of advertising. Lara reported that she will continue the Canary as is. Joyce suggested tabling any decisions as to any changes regarding the MCP’s relationship with The Canary until next month. Sheila offered the services of The Dragonfly Sanctuary for any needed mediation.

Lara requested a copy of the MCP mission statement and current committees list for posting in an upcoming edition of the Canary. Denise will e-mail the information.

Ballpark Concert Series: (& Gypsy Fest)

Anna reported that over 800 people attended the Gypsy fest and about 600 (goal was 500) attended the Blues Fest. Anna presented the MCP with an additional $309.00 in donations from the Gypsy Fest and reported that $200.00 was donated to the Madrid radio station and that the sound people were also paid for the first time this year. Anna also reported that Chris Bodei, through the food sales, raised and donated $800.00 for the Madrid Garden Lots.

Terry Rider proposed a plan to contact Joe West and have him invite Mike "The Can Man" to the upcoming Frogville Fest, (since Joe has done a special CD dedicated to Mike and his recycling cause) to have Mike promote new receptacles specifically for can recycling. Anna will get Joe’s number to Terry and it was suggested who she might contact to get receptacles donated.

Baseball Games:

Tabled until next meeting.

Community Spaces:

Tabled until next meeting.

OLD BUSINESS:

Rhonda’s gift:

Mark received the photograph which Marsha Reifman donated. Mark will purchase a frame and mat and will present the gift to Rhonda at the upcoming meeting on behalf of the MCP. Denise will send a thank-you to Marsha.

4th of July Picnic:

Cindy reported that the local Amvets chapter are disbanding and remaining members will be merging with the Santa Fe Chapter. Therefore this year’s picnic will be simplified, but still happening. Cindy reported that Bethany has purchased prizes for the children’s events, which the MCP will sponsor, and asked for volunteers to help, for which Sheila offered her assistance.

It was decided that the MCP will march in the parade as a "Kazoo band" and will post it in the Canary for anyone in the community that wishes to join in to meet in front of Cindy’s at 11:30 on the 4th for rehearsal.

NEW BUSINESS:
MCP UPATE TO AT MLA ANNUAL MEETING

Mark asked for a representative of the MCP to present an update at the upcoming MLA Annual meeting. Mike was volunteered (even though he wasn’t present) as he had offered previously and Joyce will check that he’s available on the required date and time.

HISTORICAL SIGNING

Lynn reported that the town of Cerrillos was posting informative signs on several historic buildings and suggested that the MCP look into doing the same. Lynn will check with Todd Brown to see if he would attend a future meeting to explain the process to us.
