MADRID CULTURAL PROJECTS AUGUST 2, 2004 MINUTES
Attending: Cindy Sheff, Denise Jones, Diana Johnson, Mark Bremer, Diana Hohn, Gail Snyder, Aubry Raus, Sylvia, John Zilmer, Lynn McLane, Melinda Bonewell, Scott Scrimshaw
Meeting Called to Order at 6:10pm.
Minutes from July 28th Meeting Read and Approved with Corrections.
Note: This was a meeting with several new attendees, so it was lengthy, as there was much discussion on each topic, to explain what we have been doing to date. The minutes posted below do not include that discussion but only highlight new topics of discussion.
TREASURES REPORT: Cindy Sheff
Gypsy Funds have now been deposited.
Year to Date Income is $2,534.00 in General Account, $1,794.13 in Childrens Account with a Total of $3,317.13. Expense are $2.943.65 in General Account, $3,080.37 in Childrens Account with a total of $4,534.01 for a net loss of $1.216.88. Since we had funds left over funds from 2003 we actually still have $2.924.67 in the account but need to consider how to increase income or reduce expenses soon.

Ballpark:
A. County Lease/Renovation
Cindy still awaiting return phone calls. Our attorney Jack Harwick has also been trying to get though on the phone. Action item: Cindy will call Rhonda King if she doesnt get a return call by August 15th. Mark will ask Chris Bodie (MLA President) to call Rudy.
B. Scenic By-ways Grant
Needs to go to State Historical Preservation Committee. Action Item: Mark will talk to Forest Service to find out how to proceed.
Awaiting meeting and approval. (October time-frame)
C. Uniforms
Mark has new lead on a company Danny Wright said can make replicas. Action item: Mark checking into this with Danny
Historical Society
Old Timers participation at July 4th has diminished. Idea for a party next year at Johnsons Gallery instead. Easier access and shade for older folks
Action item: Denise will print out and e-mail complete list of Old Timers mailing list for Diana
A committee was formed to take on a new project of looking into creating Madrid Script that could be utilized in town businesses for discounts. Committee consists of Diana, John, Scott and Melinda.
Food Depot
Donations are increasing to cost of food so hopefully wont be a drain on the MCPs funds in the future. We also have 2 new volunteers; Mark and John. Scott has volunteered the community center at the Red Door for distribution.
Playground

Greenbelt Fundraising
We currently have $6,000 of the $36,000 that is needed in 18 months to pay off the loan. Action Item: Mark is approaching West Star Mortage and Community Bank for matters of refinancing and a better rate.

NEW BUSINESS:
Sept. 11th Peace Celebration at Dragonfly Sanctuary
Mathew David made a presentation for the Sanctuary on behalf of owners Sheila & Frank as the property is transitioning into a community project and they are soliciting participation from the larger community. Their next event on 9/11 is a commemorative time of sharing, reflection and celebration. Mathew asked for volunteers for the childrens activities and for a donation for materials. Denise & Mark volunteered and Cindy motioned and Diana seconded that $337.00 from the General Fund be donated for materials.
Art Walk
Lynn announced that Madrid Galleries are sponsoring an Art Walk the first Saturday of the month (Aug 7th) and will be staying open until 7pm. This is being advertised in several free publications.
Madrid Christmas
There was discussion initiated by Lynn to have MCP take over organization of Madrid Christmas to make it a more community minded event instead of a Merchants driven event. Advertising is already scheduled to happen in New Mexico Magazine and NM Journey Magazine. Lisa Connelly is working with PNM to have poles installed for light displays. Could we get PNM to donate power? Could we get large retail outlets to donate lights for residents? How about a design contest for Christmas in the Ballpark? A committee was formed to spearhead this project for the MCP. Committee consists of Dian, Lynn and John. Diana motioned and John seconded the following motion: "The Madrid Cultural Projects agrees to work with the community to help facilitate Madrid Christmas as a community event and it will umbrella the event for the purpose of fund raising."
Mission Statement and By-laws
New members were given copies of current mission statement to consider before discussing at next meeting.
