MADRID CULTURAL PROJECTS BOARD MEETING

AUGUST 1, 2005 MINUTES

Attending: Mark Bremer, Lynn McLane, Joyce Roetter, Diana Johnson, Denise Jones, Gail Snyder, Bruce McIntosh

Meeting called to order at 6:17pm

Minutes from June 6, 2005 meeting read, no corrections, approved by Joyce, 2nd Denise.

Passed unanimously.

TREASURER’S REPORT:

Cindy was not in attendance but called Mark prior to the meeting to say there was nothing to report.

COMMITTEE REPORTS:

Ballpark:

    1. State Grant (Renovation and Grandstand)

Joyce, Cindy, Mark and Diana attended a meeting with Representative Rhonda King and Commissioner Mike Anaya to try to figure out how to get the county’s approval to release the funds we have been awarded, so we can begin construction on the grandstand. Four options were discussed including 1. Lease/lease back where the MLA deeds the property to the County during construction then it’s leased back to the MLA upon completion, 2. Deed just the actual property that the grandstand is on to the county, 3. MLA deed the ballpark to the MCP (since we are not a private owner but a non-profit) during the duration of the construction, 4. MLA deed the ballpark to the county. (It was noted that the MLA would probably rather loose the funds than lease the ballpark to the county.)

Rhonda then presented all options to the county lawyers who said that only option #4 would be possible under the current laws. Rhonda said she would look into the laws and whether or not anything could be changed and she was also going to call the MLA president, Chris Bodei, to get his feedback. We are now awaiting the MLA meeting to discover their thoughts.

B. Scenic Byways Grant (Toilets, Kiosk, Signage)

Tabled until next meeting when Cindy is present.

Historical Society:

Diana reported that the Old Timers reunion was not very well attended due to the cancellation of the Amvets picnic. The reunion was moved to Johnson’s gallery where Terry Ryder was able to scan some photos and those who attended shared their stories.

Discussion about how to keep the 4th of July picnic going since the local Amvets have disbanded. Bruce motioned that the MCP volunteer to work on the 4th of July events with the MLA acting as the sponsoring body. 2nd by Denise. Passed unanimously. Mark will present to the MLA for their approval or further discussion since they own the property and already have insurance on it.

MCP Fundraising:

Denise reported that the new t-shirts are ready to be picked up and it was discussed how they should be priced. The Snake & Pick shirt will be retailed at $12.00 and the Horse of a different color will be $15.00 due to the higher cost of producing (because of the many colors).

Bruce agreed to take pictures of the new shirts at the next concert for inclusion on our web-site.

Denise asked for volunteers to sell at the Labor Day concert since she’ll be out of town. She agreed to send out an e-mail asking for help.

Lynn reported that the upcoming puppet show is donating half their proceeds to the MCP for their show on Aug 6th. Denise will sell t-shirts, weather permitting.

Food Depot:

No report

Playground:

No report

Ballpark Concert Series:

Mark reported that the last 2 concerts we not as widely attended due to warm weather. Frogville Festival was about 350 in attendance and Jazz for Peace was just over 100 paying attendees.

Baseball Games:

Tabled until next meeting.

Community Spaces:

Bruce reported that due to 2 of the major locations for community events being in a state of flux (Mine Shaft for sale and Talking Bridge closing) that he is holding out on a further report until September.

Dragonfly Sanctuary:

Mark reported that 3,000 floating lanterns were created at the sanctuary for the peace celebration at Los Alamos on Aug 6th.

OLD BUSINESS:

Rhonda’s gift:

Rhonda was presented with her gift from the MCP, for all her assistance with the ballpark grants. It was a framed photo of the ballpark during a ballgame in the mining days. The gift was greatly appreciated and passed around for all to admire.

Copier Update:

No longer an issue due to the removal of the Canary from the MCP umbrella.

4th of July:

Parade still happened and toys purchased for kids events at picnic got thrown during parade instead. See above under Historical Society for further detail.

Special Board Member Meeting in July:

Special meeting was called to officially remove the Canary from the MCP’s umbrella, to discuss the 4th of July picnic and to approve more funds for t-shirts. Denise will get the minutes from Cindy to be distributed at September meeting and we will also verify if the Canary account has been closed.

NEW BUSINESS:

LaBojada Mesa Mining:
Diana reported that mining is being considered on the historical site off Waldo Road. There is a public meeting scheduled for Aug 18th at 4pm or interested parties can send letters to the County Use Office.

Lights for Night Concerts:

Joyce suggested that we begin a conversation about lighting the ballpark for nighttime concerts, especially during the hotter summer dates, to help attendance.
