MADRID CULTURAL PROJECTS OCTOBER 4, 2004 MINUTES

Meeting Called to Order at 6:10pm.

TREASURES REPORT: Mark reporting for Cindy Sheff
Approximately $1,000.00 in account due to a donation for the food bank from the Amvets and Amvets Auxiliary.
COMMITTEE REPORTS:
Ballpark:
A. State Grant (Renovation of Grandstand)
Mark reported for Cindy that she has not had any further response back from the county after repeated attempts. Everything is probably still in the works she would just like some verbal confirmation.
B. Scenic By-ways Grant (Toilets, Kiosk, Signage)
Awaiting meeting and approval. (October time-frame)
Mark submitted a review package to The State Historical Preservation Office to make sure we are meeting all their requirements. We should get comment in about 3 weeks.
Historical Society
A. Postcard project: Lynn still needs to get pricing. Mark will check archives for photo and permission for use.
B. Mining Museum Project now taken on by Historical Society Committee. Lynn will contact Clif Cato to inform him of MCP/towns interest in keeping museum relics in town.
C. Brochure project: Moved to New Fund Raising committee to update.
Madrid Christmas
Lisa Conley needs a letter from the MCP for PNM and other corporate contributions. Denise will contact her for clarification and write letter. Denise will also set up a meeting of committee to meet with Lisa to clarify their needs from MCP.
MCP Fund Raising
More possible fund raising ideas: Selling private label water at concerts and other events, town garage sale, artists contest for new t-shirts, pictures with Santa and gift wrap booth during Christmas Open House. A committee was formed of Denise, Mark, Bethany, Matt and Gail to focus energy on this need. Denise will set up meeting.
Greenbelt Fundraising
Mark said options still are 1. Refinancing with West Star, 2. Renegotiation of original loan with Jo Cook (surviving Huber sister), or 3. Refinancing with Community Bank. To date over $6,000.00 has been raised in donations. County purchase agreement still on tract for end of October. MLA will hold special Board meeting on 10/5 to set up offer to take over purchase completely (releaving Water Co-op and Volunteer Fire Dept). MLA also preparing to send out new survey to all members to get current feedback on what course of action members prefer. Next regular MLA meeting on 10/11(2nd Monday)

Rhondas Gift
Mark going to State Archives next week to get photo. Still needs fabric and seamstress to create baseball jersey.
NEW BUSINESS:
Mission Statement and By-laws
Presented new statement created by the committee to which were made slight changes. Denise will re-type and e-mail out to group (along with by-laws) to be approved next meeting.
Application to NM Legislative Council
Mark explained how we set up MCP display board with pictures and information last year and the good Public Relations and contacts he made. Mark will submit application to participate again this year and ask for same date (presidents day).
Magazine Articles
Lynn shared articles and history on Madrid. We have been getting a lot of press. Sunset magazine will also be in town on Oct 22nd to do an article.
