MADRID CULTURAL PROJECTS BOARD MEETING
NOVEMBER 1, 2004 MINUTES
Attending: Denise Jones, Diana Johnson, Mark Bremer, Gail Snyder, Lynn McLane, Bethany Forloney, Sky Fabian, Cindy Sheff, John Zilmer
Meeting Called to Order at 6:15 pm.
Minutes from Oct 4, 2004 meeting read, corrected and approved by John, 2nd by Sky.
TREASURES REPORT:
Cindy passed out report. No changes from last month.
COMMITTEE REPORTS:
Ballpark:
Cindy reported that renovation is proceeding forward as Rudy is under pressure from Rhonda King to finish the project. Twelve people showed up for the pre-proposal conference. We are still on target for Memorial Day completion.
B. Scenic By-ways Grant (Toilets, Kiosk, Signage)
Cindy also reported that we are next on the list for approval (we were 4 of about 15 applicants). Word is that we will probably receive about $73,000 of the 84,000 requested and we should be approved by the end of November.
Mark still awaiting approval from submission he made to The State Historical Preservation Office to make sure we are meeting all their requirements.
Historical Society
A. Mining Museum Project:
Lynn reported that since it has been confirmed that the Madrid Museum and its contents are also up for sale with The Mine Shaft Tavern and since Madrid is listed under both Federal and State Historical Preservation sites she is following up to see if we can get help in buying museum and/or historical relics. Lynn will also look into getting a community historic designation similar to Lincoln County and research a contact she made at the Scenic By-ways national meeting called REDTT, which promotes rural communities (NMQuest.org). There was also discussion regarding how our covenants and the county committee ordinances can prevent certain types of development from happing on the site, as long as we remain pro-active and dont allow the county to permit any variances.
As a fund raising possibility for the MCP, Diana presented an old copy of the Madrid Cookbook with recipes from the old historic Lamb Hotel which we could reproduce and sell. Mark will ask the MLA, which has the copyrights, for permission to reproduce. Lynn will check with Todd Brown on cost of printing (since he produces similar books himself)
Madrid Christmas
( December 4th & 5th, 11th &12th, 18th &19th). Tamara has agreed to chair the parade, which will be at 4pm on Dec 4th. Santa is slated to be stationed at The Talking Bridge all 3 weekends (hopefully we can have someone taking Polaroid pictures). PNM will donate time to install poles and someone working for PNM has located us 10 free poles so far. Linda Dunhill is chairing the cut-out decorations. There will be a 50/050 raffle by the Amvets and Womens Auxilliary at the Mineshaft on Dec 4th.
MCP is responsible for the house decorating contest. We will hand out ballots from 3-5pm on Dec 4th in front of The Red Railcar and ballots will be turned in at The Mine Shaft by 6pm for us to tally and hand out prizes. Tom Joles will probably still be the celebrity MC. There will be more prizes and categories which will be decided at a separate meeting by the Christmas committee. Denise will set up next committee meeting next week. Denise will also make ad for the Canary and flyers to post around town.
MCP Fund Raising
Denise presented ideas from the committee meeting of a sale table for Madrid Christmas Open House weekends and Madrid gift cards. Open House table will be outside Talking Bridge. Sign-up sheet of times was passed around for volunteers to operate the table. Gift card contest for images and pricing was discussed. Funds from sale table will be seed money to create gift cards. Denise will put an ad for the Christmas sale table in this months Canary and an ad for a contest for an artist image for the gift cards will be put in the Canary after the holidays.
Greenbelt Fundraising
Mark reported that the special ballot to vote for either Town purchase or County purchase was mailed and special meeting of MLA to count ballots and decide the issue will be Monday, Nov 8th.
Evangeline Pacheco has offer to donate 4 garden lots she owns to the MCP. Cindy motioned that the MCP accept the donation of Lots 86 ABC &D form Evangeline Pacheco and turn them over to the MLA to own and manage. Motion 2nd by Mark and passed.
Food Depot
John reported that we need a new jar from which people cannot easily "make change". Denise will have new jar before distribution this Thursday.
Playground
Anna wishes to pass committee head responsibilities over to Bethany so she can pursue working on creating a new concert series for the ballpark. Bethany accepted the position. Cindy also motioned that we physically merge the Childrens playground account into the MCP account to simplify bookkeeping. Motioned 2nd by John and passed.
Canary
No news to report.
OLD BUSINESS:
Rhondas Gift
Mark didnt find any photos at State Archives instead he will try to get approval and copy of photo we use on our presentation board of a shot of the ballpark during a game sometime in 1930s.
NEW BUSINESS:
Mission Statement and By-laws
New Version of Mission Statement is as follows:
The Madrid Cultural Projects (MCP) is a 501 (c) (3) organization, with a mission to preserve and protect Madrids historical structures and foster cultural projects, which support and promote community, provide for art, recreation and education, encourage youth projects and enhance the economic viability of our historic town.
New versions approved via motion by Denise, 2nd by Cindy.
Addition of New Board Members
Cindy motioned that new members who have been consistently attending meetings were voted on as permanent board members including: Bethany Forloney , Gail Snyder, Lynn McLane & John Zilmer. Denise 2nd, motion passed.
Next Meeting is set for Monday, 12/6/04 at 6 pm at Cindy Sheffs
