MADRID CULTURAL PROJECTS BOARD MEETING

December 5, 2005

Meeting called to order at 6:06 pm.

Agenda reviewed. Freebox, Christmas Lights and on Train, Local Yellow

Pages (Mohka), and Marketing for Donations for the Ballpark Renovation,

to be added under New Business. Joyce moves and Lyn seconds to accept

amended agenda. Approved.

Minutes of November 7, 2005 reviewed. Lynn moves to accept minutes,

Joyce seconds, accepted.

No Treasurer‚s Report. Tamara Stewart is welcomed as the new treasurer

for 2006. Discussion on the transition of mail pick-up, handoff of

financial responsibilities, and the Scenic Byways Grant Proposal by

Cindy Sheff was conducted.

Committee Reports:

Ball Park: Joyce reported that in conversation with Rep. Rhonda King

we‚ve reached a dead end with the MCP as a vehicle to receive

responsibility for the State allocation to renovate the grandstand.

There is no difference with the Madrid Landowner‚s Association as

well. Rhonda has agreed to attend the MLA quarterly meeting next week

(December 12) with attorneys and staff to discuss alternatives with the

Association. Discussion of the Ballpark funding history. The last

possibility mentioned from Rhonda was a "deed to the County/deed back

to the MLA/lease back in the interim". At the November MLA monthly

meeting ballpark ownership by the County was discussed and will be

included on the MLA quarterly agenda for the upcoming quarterly

meeting. Lynn mentioned that people are looking at the Ballpark and

the deterioration of the grandstand is a concern, and echoed among this

meeting‚s attendees. Mark ? mentioned the need for an annual weeding

effort to get ahead of the early and late season growths.

Historical Society: Lynn received three fabulous digital historical

images (circa 1900) from Bill Baxter via e-mail. Two students met with

Diana Johnson to discuss a UNM project they are currently researching

concerning the Madrid Miners baseball team. E-mail communication was

received earlier in the week from one of the students and several folks

in town were identified as possible sources of information, articles,

photos, and digital images. Bruce asked that his contact information

be shared with the students. Lynn reported that the merchants at

Cowgirl Red have purchased a box of antique baseball gloves for

possible auction to help amplify the awareness of the fundraising

efforts for the ballpark.

MCP Fundraising: The reprinted Lamb Hotel Cookbook is now available

(25 copies made). Three copies were sold at the MCP Donation Sale

table this past weekend. $169.00 for Saturday‚s effort and $10.25 for

Sunday was raised (a quarter from the dead payphone in front of the

Boardwalk). The next weekend‚s days are covered only for Sunday and a

request for volunteers was made. Gail volunteered for either the 17th

or 18th the following weekend.

Bruce‚s latest photo CD is scheduled to be out shortly for the holiday

season. MCP pricing is $15 with MCP receiving $8 and Bruce receiving

$7 to cover his efforts. Merchant pricing is $15 with a

MCP$6/Merchant$7/Bruce$2 split. Bruce‚s CD will be offered on the MCP

Merchandise website. Bethany has the inventory of MCP t-shirts, caps

and brochures.

MaryAnn Graziano is developing a 8-1/2 x 14 trifold 6-panel Madrid

brochure with the Turquoise Trail Association.

Food Depot: Pick-ups by Mark and Distribution by Gail and Jeff Moore

are going great. December 21st pick-up is requested and Mark ?

volunteers with Gail also volunteering to help. Gail mentioned that

Cindy was interested in a holiday Food Depot event. More information

will be gathered to determine MCP‚s participation.

Ballpark Concert Series: Mark said that the Madrid Music Festivals

will have concerts next year. Anna Tindel is interested in putting on

the GypsyFest in 2006 with a possible collaboration with Anah-k. Anna

wishes to put on three MMF concerts (Memorial Day, August and

September) in collaboration with Steve Shepherd and Mark B.

Ballpark movie night is greatly supported again (and again and

again) next summer. Sheila Wilson, the coordinator for this year‚s

successful event will be offered support from the MCP to repeat this

success, perhaps on a more frequent basis for 2006. Lisa Conley and

Sky Fabin in the community were mentioned as strong supporters for a

more permanent donation for such events due to their popularity.

Community Spaces: The owner of the Church, Kent Black, revoked

permission to the renter, Gail, to use the Church as a community space,

however Gail suggested there may be an opportunity for some events on a

limited basis. Bruce made a motion: Have the MCP support the Church

events in the amount of $200/month ($100 for children‚s events and $100

for MCP supported events) for a period of 10 months, pending approval

of the owner. Joyce seconded. The prohibition of alcohol at such

events was agreed as a pre-condition for continued support.. The

separate roles for a caretaker (Gail) and a Host (to collect donations)

at such events was identified. Motion passed unanimously except for

Lynn who opposed.

A suggestion was made to perhaps use the newly acquired Garage Lots to

build a community center upon. The MLA‚s permission would need to be

secured prior to any plans for this option.

Old Business:

Publications: Mark made a motion: Support the Madrid Canary in the

amount of $50 per edition that is issued. Gail seconded. Motion

passed unanimously.

"Curtsy": Bruce made a contact with someone who is interested in publishing a

single page, front and back, monthly calendar of events newsletter

including description of events, time and date.. Gail mentioned that

she and Anah-k may be involved with such a publication and call it the

"Curtsy" Mark made a second motion: Support the Madrid "Curtsy" in the

amount of $25 per month that is issued. Nancy seconded. Motion passed

unanimously.

 

New Business:

Freebox: The freebox is getting to be a mess again.

Christmas Lights and on Train: Mark ? volunteered his efforts to trim

trees and provide holiday lighting for the Old Coal Mining Museum

train. He said he also helped with spot lighting of the trees at

Seppanen‚s property with great success and wishes to expand his efforts

for next year‚s holiday lighting. Lynn mentioned the possibility of

lighting the trumpeter at the ballpark next year. She also mentioned

that the lighting contest was not well balloted, and many people voted

the General Store as "Your Best Favorite" in the residential category.

More coordination is required if the event is to occur successfully

next year.

Local Yellow Pages: Mohka is interested in creating a local yellow

pages for the Madrid community as well as surrounding communities (San

Marcos, Cerrillos and maybe Golden). The listings would be available

with vendor contributions.

Marketing for Donations for the Ballpark Renovation: Alyson Gilman,

from Real Communications, spoke with Mark regarding the development of

a targeted letter to philanthropic interests. The previous efforts of

Cindy Sheff was mentioned as a contact for any further development of

directed efforts.
